Privacy Policy
How AQUATRACE SOFTWARE collects, uses, stores and protects personal data, on this website today and on the platform to come. Written against the GDPR.
LAST UPDATED · NOT YET PUBLISHED
Introduction
AQUATRACE SOFTWARE respects the privacy of users and is committed to protecting personal data in accordance with applicable data protection legislation, including the General Data Protection Regulation, GDPR, where applicable.
This Privacy Policy explains how AQUATRACE SOFTWARE collects, uses, stores and protects personal data when users visit the AQUATRACE website, create or use an AQUATRACE account, subscribe to the AQUATRACE service, contact AQUATRACE or use customer support services.
Data Controller
Unless otherwise stated in a contractual arrangement, AQUATRACE SOFTWARE acts as the data controller for personal data processed for its own business purposes.
- Email: privacy@aquatrace-software.com
- Registered office of the controller, as on the legal notice
- Whether a data protection officer has been appointed, and if so their contact address
AQUATRACE as Data Processor
Where a customer uses AQUATRACE to process personal data relating to its own employees, customers, suppliers, contractors or other individuals, AQUATRACE SOFTWARE may act as a data processor on behalf of that customer.
The customer remains the controller and AQUATRACE processes personal data according to the documented instructions of the customer. The respective obligations of the parties are governed by the applicable Data Processing Agreement.
Personal Data We May Collect
Depending on the services used, AQUATRACE may process the following categories of data.
- Account information: name, professional email address, telephone number, company, job title, username and account identifiers.
- Technical information: IP address, browser type, operating system, device information, login information, timestamps, security logs and usage information.
- Commercial information: subscription, billing information, invoices, transaction history and company information.
- Support information: information provided when contacting AQUATRACE support, including support requests, correspondence, attachments and troubleshooting information.
Payment card information may be processed directly by third-party payment providers.
What This Website Collects Today
The software platform is not open yet. Today this website collects three things, and the list was taken from the code, not from a template.
- What you type into the demo form: name and work email, which are required, plus company, country, what you farm and a free note, which are optional.
- Server access logs, kept by the hosting provider: IP address, date and time, page requested, browser identification. These are created by the host, not by this site.
- Two entries in your browser local storage: aq-lang, holding the language you picked, and aq-consent, holding the date you acknowledged the legal notice. Neither leaves your browser.
This site sets no cookies and runs no analytics, no tag manager and no advertising or tracking script of any kind. Its typefaces are served from this site, so no request goes to a third party when a page loads. That is verifiable: view the source of any page.
Customer Operational Data
Depending on the AQUATRACE configuration, customers may enter operational information relating to aquaculture activities, including farms, production sites, ponds, tanks, batches, animals, production data, feed data, stocking information, treatments, sampling, laboratory results, environmental measurements, operational records and traceability records.
Such data remains under the responsibility and ownership of the customer unless otherwise agreed.
Purposes of Processing
AQUATRACE may process personal data for:
- providing the website and SaaS service;
- creating and managing accounts;
- authenticating users;
- processing subscriptions;
- billing and payment administration;
- customer support;
- service communications;
- security monitoring;
- fraud prevention;
- troubleshooting;
- service improvement;
- analytics;
- compliance with legal obligations;
- enforcement of contractual rights.
Legal Bases
Depending on the circumstances, AQUATRACE may rely on:
- performance of a contract;
- compliance with a legal obligation;
- legitimate interests;
- consent.
Where consent is required, users may withdraw it at any time.
For this website today: the demo form relies on steps taken at your request before a contract, server logs on legitimate interest, and the two local storage entries are strictly necessary to choices you made yourself, so they need no consent.
Service Providers
AQUATRACE may use third-party service providers for hosting, infrastructure, storage, backups, security, payment processing, communications, analytics, customer support and technical operations.
These providers may process personal data only to the extent necessary to provide their services and subject to appropriate contractual safeguards.
Hostinger may be used for website hosting and certain infrastructure services depending on the AQUATRACE technical configuration.
- The form service that receives demo requests: name, country and its data processing agreement
- The email provider that receives the form
- Any CRM the demo requests are copied into
No data from this website is sold, and none is shared with anyone not named on this page.
International Data Transfers
Where personal data is transferred outside the European Economic Area, AQUATRACE will implement appropriate safeguards where required by applicable law.
These safeguards may include adequacy decisions, Standard Contractual Clauses, contractual safeguards or other legally recognized transfer mechanisms.
Data Retention
Personal data is retained only for as long as reasonably necessary for the purposes for which it was collected, including providing the service, fulfilling contractual obligations, complying with legal obligations, resolving disputes, enforcing agreements and maintaining security.
- Retention period for demo requests that lead nowhere
- Retention period for demo requests that become customers
- Retention period of server logs, usually set by the host
Data Security
AQUATRACE implements reasonable technical and organizational measures designed to protect personal data against unauthorized access, accidental loss, destruction, alteration, disclosure and misuse.
Further information is available in the Security and Data Protection documentation, supplied on request.
This website itself is static: no database, no login, no admin panel. The demo form is transmitted over HTTPS.
Data Subject Rights
Subject to applicable law, individuals may have the right to:
- access their personal data;
- correct inaccurate data;
- request deletion;
- request restriction of processing;
- object to processing;
- request data portability;
- withdraw consent where processing is based on consent.
Requests may be sent to privacy@aquatrace-software.com. We answer within one month and may ask you to confirm your identity first, only for that purpose.
You can also complain to a data protection supervisory authority. For AQUATRACE SOFTWARE, established in France, that is the CNIL, the French data protection authority. You do not have to contact us first.
Personal Data Breaches
Where required by applicable law, AQUATRACE will take appropriate measures in response to personal data breaches and notify the relevant parties or authorities within the applicable legal timeframes.
Where AQUATRACE acts as processor, notification and cooperation obligations are governed by the applicable Data Processing Agreement.
Changes
AQUATRACE may update this Privacy Policy from time to time. The latest version will be published on this website with its effective date.
